Add Room and Devices
If you have spaces or devices that are specific for certain services or appointment types, such as an examination room for consultation or an OR for surgery, you can connect those so they are blocked when an appointment is booked.
This will ensure that no room or device is double-booked and your daily work runs smoothly.
In this article, we will guide you through how to set it up. Once done, all new appointments will automatically block off the selected room or device for the duration of the session.
Step-by-Step
1. Click on "Settings"
2. Then click on "Location Management"
3. Select the location you want to add the room and device for
4. Click on the Devices tab
5. Click "Add device category"
6. Give your device a name – let’s say you need a Keller Funnel for breast augmentation surgeries.
7. Add how many of these devices you have available at this location
8. Enter the number so the system keeps track for you and click Save.
9. Next, assign this device to the appointment types and services that require it
10. Select Service and appointment type
11. In this example, every Breast Augmentation Surgery and Revision requires a Keller Funnel
12. Repeat for all the medical devices your clinic uses...
13. ...making sure they’re assigned to the right services and appointment types
14. Now that your devices are ready, let’s set up the rooms. Click on the Rooms tab.
15. Click on "Add Room" – this is where you define the available spaces in your clinic
16. Give the room a name – for example, OR 1
17. If you have devices permanently located in that room, you can link them so they stay connected. Simply click "Add Device"
18. Select the device you want to connect to the room and click "Add Device"
19. Repeat for all devices and then click "Save"
20. Repeat this process for all your clinic’s rooms so everything is mapped out correctly
21. Remember to save it.
22. You can also inactivate Rooms and Devices if they are temporarily unavailable.
23. Now that your Rooms & Devices are set up, let’s see them in action during the scheduling process!
24. You'll schedule your appointments as usual. The room and device will automatically be assigned to the appointment. Once you open up the booking, you'll see them attached, so you know where the procedure will take place and the equipment that is available.
25. If all rooms or devices are booked at that time when you schedule the appointment, you’ll get a warning when trying to save it ,so you can choose another time if necessary.
