Overview of Services

What is a Service?

In the Adoreal platform, a Service refers to any procedure your clinic offers to patients—this can include surgeries, treatments, injections, and more. They are set up by location, and hence, if you have several locations, the service and its setup need to be done for each of them.

When setting up a new service, there are multiple steps that need to be completed for it to be properly configured for booking and invoicing.

In this article, we will give an overview of the services section.

Overview

Each service is divided into the different appointment types: Consultation, Surgery/Treatment, Post-op/Follow-up and, if it's a surgery, Revision. Each appointment type has its own setups, such as price, duration, and the possibility to be booked online by patients.

Consultations and Post-ops/Follow-ups are available both on-site (at the clinic) and virtually (as a video call). You can set whether you offer both or only one of them.

Each service has to be assigned to a treatment provider, and settings can be adjusted for each treatment provider, in case they charge a different price, for example. This will be covered in other articles.

Settings and structure

The service structure is divided into Surgeries and Treatments, which include all non-surgical services. We'll go through the different settings for each below.

1. General information

This section has settings that are for the service as a whole, and not dependent on the appointment type.

Service name

This is the name showing within the Adoreal app and to patients when they're booking the service. The service name of a default, or catalogue, service is not editable. Customised services' names are editable.

Service description

The description of a default, or catalogue, service is not editable. Customised services' names are editable.

Visibility

You can set whether the service should be available to book by staff and/or by patients online.

  • Visible in the Schedule means that the staff can book it, but it's not visible for patients to book online.
  • Visible for Patients means that the service is available for patients to book online. Please note that there are several steps to make a service visible in the booking widget. This setting is the first one.

Consent forms

You can upload consent forms that will be sent to the patient ahead of the surgery or treatment. The patient will be notified and will sign it in their Adoreal account.

2. Consultation

There are several settings for consultation, and you will set separate ones for Virtual and On-site consultations.

Pricing

Set the price for either On-site, Virtual or both, depending on what your clinic offers.

Duration

Set the duration for either On-site, Virtual or both, depending on what your clinic offers.

Bookable online

You can set whether the appointment type (On-site and/or Virtual) should be bookable online by patients

Instructions

You can send out pre- and post-instructions. These can be both one-off instructions sent when a patient books the consultation, or time-based, such as 1 week before or 3 days after. Patients are notified about any new instructions they need to read.

Devices and rooms

For on-site consultations, you can connect the appointment with a specific room or device, which will then block it and make it unavailable for the duration of the consultation.

3. Surgery/treatment

There are several settings for surgeries/treatments. Please note that while Treatments are available to set to booked online by patients, Surgeries will always be booked by the clinic.

Pricing

Set the price as either Fixed or Starting from.

Duration

Set the duration of the surgery/treatment. This is the time that will be blocked off in the Schedule. For surgeries, once you book the appointment, you'll have the option to set the arrival time and, hence, let the patient come earlier to the clinic.

Bookable online

This is only available for treatments. You can set whether the appointment type (On-site and/or Virtual) should be bookable online by patients.

4. Post-Operative/Follow-ups

Post-ops/Follow-ups have the same settings and options as Consultations, and are offered both as On-site and Virtual.

Things to Consider When Setting Up a Service:

  • Set Up Both On-Site and Virtual Options
If your clinic offers both formats, make sure to fill in the relevant details for each option, including whether they are available to be booked online by patients.

  • Set the Time Duration for Each Appointment
Make sure you set the correct duration so that the correct time is blocked off in the schedule.

  • Add Before & After instructions and detailed timing-based guidance
This gives you the opportunity to prepare the patient as much as possible before the appointment. It can include both preparatory steps for the appointment, how to find the clinic, or what to expect once they arrive.

  • Add Consent Forms
Ensure you attach relevant consent forms to each service, especially where required legally or medically.

  • Add Images (optional)
Upload images such as before-and-after examples to give patients a clearer understanding of the procedure.

Where Services Appear

Once your service is created, assigned to a treatment provider, and the treatment provider has set up their availability, it will appear in your clinic's booking widget on your website and in the patient app.

When a patient visits your booking page, they will see:

✅  A search bar to find services by name

✅  Service categories like Consultation – Surgery or Skin/Body

✅  The available time slots and providers assigned to those services

Troubleshooting Tip
I
f a service isn’t showing in the booking widget, double-check the following:

✅ The service is marked as active and visible in marketplace

✅ It’s assigned to at least one treatment provider

✅ The provider has availability set up in the schedule
